Recruitment privacy policy

Your privacy is important to Dawn Health. We encourage you to read this Privacy policy carefully as it contains information about the way we use and protect your personal data. 

 

We are committed to respecting your privacy and protecting your personal data. We comply with the General Data Protection Regulation (hereafter “GDPR”) when processing your personal data. 

 

This Recruitment privacy policy only applies to the personal data of job applicants, potential candidates for employment or partnership, participants in our recruiting events, and persons contacting us through our website form for recruiting purposes. It explains why and for what purpose Dawn Health collects and processes your personal data, whether there are other recipients of your personal data; whether we intend to transfer your personal data to another country, and what are your rights in relation to our collection and processing of your personal data.

Using your information

We will use your information for the purpose of recruitment, to analyse your application and candidacy, and decide whether we can offer you a work position now or in the future. You will also use your information to contact you in the context of the recruitment process and source and assess you as a potential candidate for a job position.

 

This processing of your information is based on our legitimate interest in maintaining our human resources operations, including identifying and evaluating candidates for potential employment and maintaining records in relation to recruiting and hiring (Article 6(1) (f) GDPR). We also rely on your consent when we keep your data for future positions (Article 6(1)a GDPR).

 

By submitting your personal data to us, you acknowledge that:

  • You have read and understood this privacy policy and agree to the use of your personal data as set out herein.
  • Your data will be processed by third parties that assist us with the recruitment process.
  • We have official channels for recruitment, such as our website or third parties (e.g., our LinkedIn) and cannot guarantee we will process unsolicited job applications sent through other channels. 
  • We will treat your data confidentially, but we still encourage you not to write down your CPR number in either your application or your CV.

Personal data we collect about you

When we use the term "personal data" in this privacy policy, we mean information that relates to you and that allows us to identify you, either directly or in combination with other information. 

 

We may collect or receive information when you provide it directly to us or through alternative channels (e.g., via professional recruiting channels). Collection of information may occur in the context of a job application for a position at our company, at the application stage, in our recruiting events, during the interview, or sent from a third party (e.g., when you have authorized us to obtain a reference check from a previous employer, or when we work with a recruiting agency).

 

When you submit a job application, we may collect:

  • Your name
  • Your contact information, such as email address and phone number
  • Your address
  • Your CV
  • Your work and educational history, such as previous experience, employment entitlements, education, qualifications
  • Information provided when completing tests or questionnaires and/or attending an interview
  • Your social media profile on LinkedIn
  • Any other information you have voluntarily provided to us through your CV, your application (such as photographs, video, portfolio) and through the recruitment process.

 

In connection with this purpose, we may generate insights or analysis reports using aggregated and anonymized data, so none of this data can be used to identify you. 

Sharing your information with others

We share your personal data with third parties that assist us in the recruitment process. 

 

Your information may be processed by our personnel; our affiliates and subsidiaries; our independent agents and vendors working on our behalf (if any); our suppliers and services providers (such as our recruiting platform, third-party recruitment agencies contracted to assist us with the vetting of job applicants); any third party to whom we assign any of our rights or obligations; and when required by law or to respond to legal processes.

Due to legal and/or contractual obligations, these persons and organizations must protect the confidentiality and security of your information. 

 

Certain business partners and suppliers process personal data on behalf of Dawn Health and may only process your personal data under the instructions provided by Dawn Health, and in accordance with this privacy policy, a signed data processing agreement, and other relevant confidentiality and security measures. These third parties may not process your personal data for their own purposes. To the extent Dawn Health discloses or transfers your personal data to these third parties who may use your personal data for their own purposes, such disclosure or transfer will only take place if it is in accordance with applicable law, or after first obtaining your consent.

Transfer to countries outside the EU/EEA

It may be necessary for us to send personal data to countries outside the European Union/European Economic Area. Such transfers will only take place for the specific purposes mentioned above and we will always ensure that an appropriate transfer mechanism is in place, such as adequacy decisions of the Commission of the European Union, Standard Contractual Clauses, or other appropriate safeguards according to Articles 46 or 47 of the GDPR.

Retention Policy

Unless otherwise required under applicable law or another lawful purpose, we will only process your information for as long as described here.

 

If your candidacy has not been successful, your data will be deleted within 6 months after the job position is filled. In some cases, we may ask to keep your data after this period, in particular if we believe that your profile might match future positions. We do so while you consented and for additional 6 months. 

 

If your job application is successful, the personal information you provide during the application process will be securely retained by us as part of your employee file for the duration of your employment and after termination for as long as stated on our internal policies or required by applicable law.

Your rights

Under the General Data Protection Regulation, you have rights in relation to our processing of information about you. Under applicable law, there may be limits on these rights depending on the specific circumstances of the processing activity.
 

You can obtain information on the personal data which we store and processes about you and to the extent you have such right under applicable law, you can get a copy of your personal data in a structured, commonly used, and machine-readable format. You have the right to rectify personal data that you think is inaccurate and, under certain circumstances, to restrict or object to the processing of personal data and delete your personal data. Your consent is voluntary, and you can withdraw it at any time.
